Oriana Publications believes that your personal information is important and we will do all we can to keep it safe and protected. The prime reason that we gather this information is so that we can keep you informed about our publications and about the composers that we represent.

 

We want our customers and composers to trust us and to be confident that we only gather the information that we need, that we store it securely and will only use it in the ways that we have informed you about. 

 

HOW WE COLLECT YOUR PERSONAL INFORMATION

 

We  collect your information if you:

 

  • subscribe to our newsletter through our website

  • purchase anything via our website or through our download partner, Payhip

  • hire music from us

  • contact us via email, contact form, phone or post

  • enter into a publishing contract with us

The information we hold about you is relative to your relationship with us. Depending on what information you have shared with us, we may hold your name, email address, phone number, postal address, postcode, and age.

 

If you are a composer (or composer's heir) with works assigned to us, we will gather and store further information about you, sometimes including special category data.

 

WHY WE COLLECT YOUR PERSONAL INFORMATION

 

We collect, store and use your personal data for one or more of the following reasons:

 

  • you have given your consent for us to use your data

  • we have a good reason to believe that you would like to hear from us (known as Legitimate Interest) i.e. you  have previously expressed an interest in our work or have purchased/hired music from us, and we want to get in touch to ask for your consent to contact you in future

  • we need to process your data in order to fulfil a contract with you or to undertake preparatory steps before entering into a contract

  • we need to process your data in order to comply with the law

 

WHAT WE WILL DO WITH YOUR PERSONAL INFORMATION

 

What we do with your information will depend on your relationship with us. If you are an actual or potential customer or someone who has expressed an interest in our work, we may use your information to:

  • personalise communications you receive from us

  • target promotional material to suit your area(s) of interest

 

If you agree to receive marketing information from us, we will use your personal details to send you news about new publications, composers, events and other projects in which we think you might be interested.

Where we use other companies to communicate with you, such as Campaign Monitor, Mail Chimp, and Survey Monkey, we will ensure that that they will not share your information and that they comply with the General Data Protection Regulation.

 

We may use your personal information to build a profile of your preferences and to inform our marketing. If you do not want us to process your information in this way, please contact us using the details above.

 

HOW WE STORE YOUR DATA

 

  • All data is stored electronically on password-protected computers at our registered office and also on password-protected servers on the Microsoft Cloud. No data is stored on physical material.

  • Any data collected via paper forms is immediately transferred to our electronic records and the physical material destroyed.

 

HOW WE PROTECT AND DOCUMENT THE DATA WE HAVE

 

PROTECT DATA

 

  • All our computers are password-protected, meaning that only Oriana Publications employees with the highest security privileges can access it. We also use the latest firewall and anti-virus software to protect our computers.

  • All Oriana Publications email accounts are password-protected and access is strictly limited.

 

DOCUMENT DATA

 

  • All data not received electronically is manually input by employees with the highest security privileges and all physical records immediately destroyed. We NEVER use freelance, temporary or outsourced staff for this process.
